Who this policy covers

This policy explains how Whitsunday Reflections (GA & PG Bennett Pty Ltd, ABN 91 636 721 367) collects, uses, stores and shares personal information about guests, people who contact us and visitors to this website. Whitsunday Reflections handles personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

Whitsunday Reflections only collects the personal information it needs to take and manage your booking and look after you during your stay. This may include:

  • your name, phone number, email address and postal address
  • your booking details: dates, apartment, number of guests, bedding and special requests
  • payment details for your deposit, balance and security bond
  • photo identification shown at check-in
  • details of extras, tours or transfers you ask us to arrange
  • anything you tell us when you call, email or visit reception

We collect this directly from you, or from the booking site or travel agent you booked through.

How we use it

  • to take, confirm and manage your booking, including charging your deposit, balance and security bond
  • to check you in, give you access to your apartment and contact you about your stay
  • to arrange extras, tours and transfers you ask for
  • to answer your questions and deal with any problems
  • to meet our legal, accounting and tax obligations
  • to send you news or offers, but only if you have agreed to it. You can unsubscribe at any time.

Who we share it with

Whitsunday Reflections does not sell your personal information. We share it only where needed to provide your stay or where the law requires it, with:

  • our online booking system provider and payment processors, which store booking and payment details for us
  • the booking site or travel agent you booked through
  • tour operators, shuttle companies and suppliers of extras, but only the details they need, and only when you ask us to book something for you
  • our accountants, IT providers and other service providers who help us run the business
  • government agencies or police, where the law requires it

Some of these providers may store information on servers outside Australia. Where that happens, we take reasonable steps to make sure your information is protected.

Payment cards

Card payments are processed through our booking system and payment providers. For your security, please never send card details by email.

Storage and security

We take reasonable steps to protect your personal information from misuse, loss and unauthorised access, including password-protected systems and limiting access to the people who need it. We keep your information only for as long as we need it for the purposes above or as the law requires, then destroy or de-identify it.

This website and cookies

Like most websites, this site uses cookies and similar tools to make the site work and to understand how visitors use it, for example which pages are visited. This information does not identify you personally. Some pages include content from other services, such as Google Maps and our booking engine, which may set their own cookies under their own privacy policies. You can block or delete cookies in your browser settings; some parts of the site may not work properly if you do.

When you click through to book, you are using our booking engine, which has its own privacy terms.
