Terms and Conditions and Cancellation Policy

Please read: These booking terms and conditions carefully as they incorporate the basis upon which bookings are accepted by Whitsunday Reflections.

How to Book: Reservations can be made by calling +61 416 048 131 or by email info@whitsunday-reflections.com.au All bookings must be secured by credit card at time of booking with a $200 deposit.

Final Payment Policy:  Full payment is due up to 7 days prior to arrival. The credit card authorized for payment of the initial deposit will be automatically debited with the outstanding balance, unless we are contacted before this time with alternative arrangements. If we do not hear from you, our understanding will be that you have authorized us to deduct the final payment from this card.

If you do not agree with this policy, then you must arrange an alternative payment solution with us ensuring any EFT money transfer has cleared our account 5-days prior to your arrival. You must have adequate cash on arrival to cover the security bond / deposit. We do not accept personal or company cheques, money orders or foreign currency on arrival.

Credit/Debit Cards: Visa & MasterCard are accepted with no additional fees applicable. Diners card and American Express are not accepted.

Standard Cancellation Policy: Should you need to cancel your booking, the deposit is refunded minus a $100.00 administration fee. Full payment is required 7 days prior to arrival. There are no refunds for cancellations inside 7 days of your arrival date.

Christmas Cancellation Policy (bookings between 11 December and 26 January): Full payment is required 30 days prior to arrival. Cancellation prior to 30 days from arrival date; any payments will be refunded minus a $100 admin fee. We strongly recommend travel insurance against cancellation.

No Shows – full accommodation total is forfeited.

Shortened Stay – Guests who reduce length of stay once in house will not receive a refund on nights booked & paid.

Whitsunday Reflections Check-in and Check-out Times:

Check-in time: after 14:00 (2pm)

Check-out time: prior to 10:00 (10am)

Late check-out after 10:00am –Please ask. Late check-out after 12.00pm; an extra 1/2 night’s rate will be charged, and is subject to availability. Secure storage of luggage is available, again please ask.

Minimum lengths of stay:  These apply during special event periods.

Smoking: All Whitsunday Reflections apartments  and common areas are NON-SMOKING.

Whitsunday Reflections maximum rooming configuration for all apartments are as follows:

1 Bedroom = 2 persons (plus one rollaway bed at additional cost, see below)
2 Bedrooms = 4 persons (plus one rollaway bed at additional cost, see below)
3 Bedrooms = 6 persons (plus one rollaway bed at additional cost, see below)

Split Beds: Most of our 2 Bedroom apartments are equipped with King beds in the second bedrooms that unzip into two single beds so please advise your bedding configuration at time of booking to ensure correct apartment allocation.

Cots: These are accepted in addition to the maximum number of persons above. Maximum 1 cot per apartment (please call).

Additional Items for Hire: Cots, Rollaway Beds, High Chairs and Pool Towels are available for hire for a one off charge of; Rollaway Bed/Cot: $100.   High Chair: $50.   Pool Towels: $2.50 each

Prices: All prices are quoted in Australian dollars. The rates are subject to change without notice until booking is confirmed by deposit. We endeavour to provide the best possible price for the period of booking. In the event that you are able to obtain a better price for our property elsewhere, please advise and we will do our best to match it.

Noise: Excessive noise will not be tolerated. There are NO parties at Reflections (Whitsunday Reflections Body Corporate Bylaw).  We ask all guests to respect other residents. Guests will be asked to vacate the premises without refund if creating excessive noise, having a party or exceeding the number of permitted guests. 

Schoolies: Whitsunday Reflections does not accept Schoolies bookings. These conditions, will be strictly enforced. We ask you to contact reception should you experience other guests causing you discomfort.

Damage: If in the event that a guest has caused damage to the property or effected other guests/occupants of the property, Whitsunday Reflections reserves the right to ask that guest to leave and forfeit any monies paid and will require the guest to pay for any damage caused.

Aggressive behavior:  If a guest/occupant behaves in an unacceptable or aggressive manner to other guests/occupants, Whitsunday Reflections staff / security, or are carrying out illegal acts on the premises, then, that guest/occupant will be asked to leave, the appropriate authorities will be notified and all monies paid will be forfeited.

Identification: Adequate identification will be required at time of check-in to verify your identity. A current drivers license, passport or other form of photo identification (ID) will be asked for prior to check-in. We require all credit card usage to be accompanied by this ID.

Please Note; all QLD Government health directives must be complied with.


Security Bond: A credit card will be asked for at time of check in and will be used to cover incidental items such as (but not limited to):

  • Any breakages or damage incurred during your stay.
  • Any excessive cleaning charges, above the normal level of cleaning, due to the apartment being left in an unacceptable state.
  • Any excessive rubbish being left for the cleaning staff to dispose of.
  • Any recreational charge e.g tours.
  • Additional servicing charges

Pre-authorization: Credit cards will be pre-authorized for $200.00 at time of check-in (a higher amount maybe requested). In the event that the guest cannot provide a credit card as a guarantee, ONLY during business hours, a cash security deposit will be required along with photo identification. This bond will then be returned on departure once the apartment has been checked by our staff.

Services provided: Fresh Linen and housekeeping is provided to guests for stays 8 nights or more. A mid-service clean will be done on or around the 5th day.

NOTE: If extra servicing is required additional charges apply.

Rubbish Removal: 3 large rubbish bins are provided (adjacent to Reception stairs)for guest rubbish disposal. All guests are responsible for the removal of their own rubbish on a daily basis. Bags are provided for this purpose. 

NOTE: If excess rubbish is left in the apartment additional charges apply. A standard clean is included in the apartment tariff, however, additional charges may be added for an above standard clean and broken glasses etc.

Descriptions, Photographs & Maps:  Maps and photographs are shown for general information only and highlight places in surrounding areas. Property photographs are representative only, actual apartments occupied may vary in decor and inclusions from those shown. Descriptions are based on information available at the time of publishing and may vary or change at any time.

Travel Insurance: We recommend that, at time of booking, you consider purchasing a travel insurance policy of your choice. Travel Insurance can be purchased from any travel agent.

Unaccompanied minor/s: A child/children who is/are traveling/staying without the accompaniment of an adult over the age of 18 years is considered by most airlines/hotels as an unaccompanied minor/s. Unaccompanied minor reservations are not accepted by Whitsunday Reflections.

Limit of liability: We do our best to ensure your booking arrangements are satisfactory, however Whitsunday Reflections does not accept any liability whatsoever for any injury damage, loss, delay, additional expenses or inconvenience caused directly or indirectly by any events which are beyond its control including, but not limited to, war, civil disturbance, terrorism, fire, floods, acts of God, acts of Government or of any other authorities, accident to or failure of machinery or equipment, maintenance requirements or industrial action.

Special Conditions: If in the event that we cannot provide the apartment accommodation as requested, we will find alternative accommodation in another apartment type at the same property. In extreme cases we will relocate a guest to a nearby hotel of similar standard, or offer a full refund or alternative available dates.

In the event that a guest fails to pay immediately upon demand, any amount owing to Whitsunday Reflections, pursuant to the booking and accommodation (including without limitation those incidentals such as damage, cleaning, etc. set out above) Whitsunday Reflections reserves the right to deny access to the guest and ask that they vacate the premises.:
